WhatsApp Web and Desktop: Complete Guide

Typing long messages and sending documents is much easier on a computer. WhatsApp Web and the WhatsApp Desktop app let you use WhatsApp on your PC or Mac.

Set up WhatsApp Web

  1. On your computer, go to web.whatsapp.com.
  2. On your phone, open WhatsApp → three dots (Android) or Settings (iPhone) → Linked devices → Link a device.
  3. Scan the QR code on the computer screen.

Some versions also let you link with a phone number code instead of QR.

WhatsApp Desktop app

Download WhatsApp from the Microsoft Store (Windows) or the App Store / official website (Mac). The app supports voice and video calls and runs smoothly with notifications.

Does my phone need to be online?

No. With multi-device support, linked computers work even if your phone is off, for a period of time. Your phone needs to connect occasionally to keep devices linked.

Useful shortcuts

ShortcutAction
Ctrl + NNew chat
Ctrl + FSearch chats
Ctrl + Shift + MMute chat
Ctrl + Shift + UMark as unread

On Mac use Cmd instead of Ctrl. Shortcuts vary slightly between versions; check the app's keyboard shortcuts list.

Sending files

Drag and drop files, photos and documents into the chat. Great for sending PDFs and assignments.

Security

  • Check Linked devices on your phone regularly and log out of any you don't recognise.
  • On shared computers, log out when finished (menu → Log out).
  • Set a screen lock in WhatsApp Web settings where available.
  • Only use the official website and apps; avoid fake "WhatsApp" downloads.

Troubleshooting

  • QR code won't scan: clean your phone camera, zoom the browser, or refresh the page.
  • Not syncing: check internet on both devices, and update the app.
  • No notifications: allow notifications in your browser or Windows settings.

Using WhatsApp Desktop for work

  • Pin important chats and use chat lists to separate clients, colleagues and family.
  • Drag documents directly from File Explorer or Finder.
  • Use starred messages to keep track of important instructions and addresses.
  • Keyboard-first workflow: search chats with Ctrl + F and reply without touching the mouse.
  • Do Not Disturb: mute desktop notifications during focused work, and turn off sounds in WhatsApp settings.

Desktop storage and downloads

Files you open in WhatsApp Desktop are saved to your Downloads folder or the app's storage. Over time, this can use a lot of space. Periodically clear downloaded media you no longer need, and check the Downloads folder. See freeing up space on Windows.

Privacy on shared computers

  • Never tick "Keep me signed in" on public or shared computers.
  • Log out and close the browser after use.
  • On family PCs, use separate Windows user accounts so others can't open your WhatsApp.
  • Lock your computer (Windows + L) when stepping away.
