Gmail Tips: Organise Your Inbox and Stop Email Overload

Thousands of unread emails, promotions everywhere, important messages buried. Gmail has powerful tools to organise your inbox and keep it that way.

Use inbox categories

In Settings (gear icon) → Customise inbox, enable tabs like Primary, Promotions, Social and Updates. Gmail sorts emails automatically, leaving important messages in Primary.

Unsubscribe from newsletters

Open marketing emails and click Unsubscribe next to the sender name. Gmail also has a "Manage subscriptions" view in some versions to unsubscribe in bulk.

Select all results and archive or delete in one go.

Labels

Labels work like folders, but an email can have several. Create labels like "Bills", "Work" and "University".

Filters

Automatically label, archive or star emails. Search for something (like from:university.edu), click the filter icon in the search bar → Create filter, choose actions like "Apply label" and "Skip the inbox".

Archive instead of delete

Archive removes emails from the inbox but keeps them searchable. Great for "done" emails.

Snooze

Snooze an email to make it return to the top of your inbox later, when you can deal with it.

Keyboard shortcuts

Turn on shortcuts in Settings. Then use e to archive, r to reply, c to compose, and / to search.

Gmail tips on your phone

  • Swipe actions: in Gmail app settings, set left and right swipes to Archive, Delete, Snooze or Mark as read.
  • Notifications: set notifications to "High priority only" to reduce interruptions.
  • Multiple accounts: add work and personal accounts and switch with a swipe on your profile picture.
  • Smart replies: use suggested short replies for quick responses.

Save time with templates

If you send similar emails often, turn on Templates in Settings → Advanced. Write the email once, then save it as a template from the three-dot menu in the compose window. Insert it anytime with two clicks.

Schedule emails

Click the arrow next to Send and choose Schedule send to deliver an email at a better time, like the next working morning.

A one-time big cleanup plan

  1. Search category:promotions older_than:6m → select all → delete.
  2. Search category:social older_than:6m → delete.
  3. Search larger:10M → download attachments you need → delete emails.
  4. Unsubscribe from the senders you deleted most.
  5. Set up filters for newsletters you want to keep.
